Description
“We liked the demo” is not a vendor selection process
Most AI tool decisions get made after a few demos and a gut feeling about which sales rep was most responsive. The criteria that actually mattered — weighted by what matters most to your team — rarely get written down anywhere, let alone scored consistently.
This kit scores every vendor against the same weighted criteria, compares features and pricing side by side, and lands on a ranked shortlist you can actually defend.
What you get
1. A 10-sheet Excel workbook
- Start Here — how the sheets connect
- Vendor Directory — every vendor under evaluation, with use case category and status
- Evaluation Criteria — your own weighted criteria — set once, applied to every vendor
- Scoring Matrix — every vendor scored against every criterion, weighted automatically
- Weighted Score by Vendor — total weighted score and rank, per vendor
- Feature Comparison Matrix — which vendor has which feature, side by side
- Pricing Comparison — every vendor’s pricing and effective cost, side by side
- Category Summary — your selected vendor per use case category, pulled in automatically
- Vendor Lookup — type a vendor, see their full score and comparison record instantly
- Dashboard — vendors under evaluation, top-scoring vendor, most feature-complete, and lowest-cost vendor, live
2. An 11-page companion guide (PDF)
How to set evaluation criteria weights that reflect what your team actually needs, how to read a weighted score without letting one strong category hide a dealbreaker, what the Feature Comparison Matrix prevents, and a simple vendor-selection review routine.
3. A Notion template
An importable Notion workspace mirroring the key tracking tables, with a quick-reference section and a next-actions checklist.

Compatibility
Microsoft Excel 2016 and later, Microsoft 365, Google Sheets, and LibreOffice Calc. Works with any AI tool, any team structure, and any naming convention — you enter your own data rather than being locked into a fixed list of vendors or categories.
This is a planning and organization tool. It does not constitute tax, accounting, legal, or financial advice. Results depend on the accuracy of the figures you enter.
Frequently asked questions
Does this come with pre-set criteria or weights?
No — the Evaluation Criteria tab is blank by design, so you set weights that reflect what actually matters for your own use case, not a generic checklist.
How many vendors can I evaluate?
The directory ships with room for 15 vendors — copy a row down to add more.
Can I run more than one evaluation at once, for different use cases?
Yes — the Use Case Category field on the Vendor Directory and Category Summary tabs is built exactly for running several evaluations side by side.
Will this work in Google Sheets?
Yes. Upload to Google Drive and open with Google Sheets — formulas, dropdowns, and the chart all carry over.
What if two vendors tie on weighted score?
The Dashboard and lookups resolve ties by showing the first matching vendor — for a close call like that, the Feature Comparison and Pricing tabs are there to break it manually.
